The Work You Will Do:

The Office of Resilience and Coastal Protection is seeking a full-time Administrative Assistant position. This is an administrative position responsible for providing support for various programs within the division.

Pay: $34,650.00

Your Specific Responsibilities:

Conducts the Beaches Coastal Management System (BCMS) data entry and Oculus scanning for new permits received by the Coastal Construction Control Line Program including, receiving paper and electronic mail, date stamping, data entry, scanning and distribution of applications. Reviews correspondence and specific items that require action for assigning and tracking section tasks and due dates and recommends response, review, or other action. Serves as a department clerk for Final Agency Actions when needed. Provides routine assistance to office staff that includes setting up meetings, copying, typing or compiling a variety of technical documents, reviewing forms/draft documents, and mailing. Proofreads, correcting grammar, spelling, and punctuation as necessary. Inserts program documents into Oculus as needed. Performs other duties as required.

Required Knowledge, Skills, and Abilities:

  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Ability to computer software including applications.
  • Ability to operate office equipment.
  • Ability to understand and follow policy direction and rules applicable to public records requests.
  • Ability to deal with the public in a tactful and courteous manner.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to utilize problem-solving techniques.
  • Ability to stand for long periods of time copying and filing.
  • Ability to collect, evaluate and analyze date relative to administrative functions.
  • Knowledge of Coastal Contral Line permitting requirements
  • Knowledge of Oculus
  • Ability to review data for accuracy and completeness.
  • Knowledge of procedures for handling State Travel Authorizations and Reimbursement.
  • Knowledge of the Florida Purchasing Card Program.

Required or Preferred Qualifications:

High school diploma or GED equivalent
